Cancellation Policy
1. Responsibilities of the Hirer: The hirer must ensure the premises, including the sports hall, washrooms, and equipment, are left clean and orderly. All furniture and equipment must be returned to their original locations, and rubbish disposed of properly. Lights, taps, heating, and facilities must be turned off after use. Any damage caused by misuse or negligence will be charged to the hirer. 2. Booking Fees and Payments: The sports hall hire is £35 per hour, with floodlights available at £8 per hour. All fees must be paid in advance for single events. Recurring bookings require payment within 30 days of the invoice date. Late payments may result in cancellation or fees. Payments can be made via bank transfer, credit card, or approved methods. 3. Booking Confirmation: A booking is confirmed only after payment is received, and the foundation issues a confirmation email or receipt. The foundation may cancel provisional bookings if payment is not made within the specified timeframe. 4. Use of Facilities: Facilities must only be used for the purpose stated on the booking form. Sub-letting or unauthorized use is strictly prohibited. The foundation reserves the right to monitor facility use and terminate bookings if inappropriate activities are identified. 5. Cancellation Policy: A minimum of 7 days’ written notice is required to cancel a booking without charge. Cancellations made within 7 days of the booking will incur the full fee. The foundation may cancel bookings due to emergencies, offering a full refund. 6. Insurance and Liability: The hirer must have liability insurance to cover all participants and equipment. The foundation is not responsible for injuries, loss, or damage to property. The hirer indemnifies the foundation against any claims resulting from the use of the premises. 7. Health and Safety: The hirer must comply with health and safety regulations, including fire safety, evacuation procedures, and occupancy limits. It is the hirer’s responsibility to ensure all participants follow these rules. 8. Child Safeguarding: Events involving minors must include appropriate supervision by responsible adults. The foundation may request safeguarding policies or perform background checks. 9. Termination: The foundation reserves the right to cancel bookings for breaches of these terms. In such cases, no refunds will be issued, and the hirer may be liable for damages or losses.
